Overview

This is a hybrid position that supports both the Parts and Service departments. The Parts & Service Advisor will assist customers at both counters as needed, helping ensure smooth daily operations and a seamless customer experience across all areas of the dealership. 

Responsibilities and Duties

Customer Service & Communication

Serve as the main point of contact for customers at the service counter and over the phone. Schedule service appointments, understand customer equipment concerns, and provide updates on repair status and completion timelines. Deliver courteous and professional assistance in a fast-paced environment.

Work Order & Service Management

Open, track, and close repair orders accurately. Document requested services, technician notes, parts used, and completed repairs to maintain complete and transparent service records.

Estimating & Service Advising

Prepare repair estimates and advise customers on recommended maintenance and repairs based on inspections and manufacturer guidelines. Help customers make informed service decisions.

Parts Ordering & Coordination

Order, receive, and coordinate parts for customer repairs and technician work orders. Assist technicians with special-order parts and work closely with the parts department to ensure timely availability of components and minimize downtime.

Record Keeping & Reporting

Maintain accurate records of service histories, work orders, parts usage, and customer communications. Assist with reporting related to service operations and technician productivity.

Requirements

  • Detail-oriented with strong organizational skills
  • Ability to think and work independently while multitasking effectively
  • Strong customer service and communication skills for both walk-in and phone interactions
  • Knowledge of and ability to use computers for daily work tasks
  • Ability to engage with customers and fulfill their parts and service needs
  • Mechanical knowledge of parts and service is a plus; willing to train the right candidate
  • Previous customer service experience is helpful, but not required

  • Full time position – 40 hours per week, weekend rotation required
